HR and L&D Coordinator
Job Description:
KEY DUTIES / RESPONSIBILITIES
HUMAN RESOURCES
Recruitment
Maintain the Careers email and allocate CV to the relevant folder by departments.
Arrange interviews by request from HRM
Complete two reference checks once candidate is shortlisted
Make offers as per the guidelines of HRM
Follow up on candidates and coordinate.
Commencements
Ensure documentation is completed at commencement of employment for all resort-based grade Eri Hosts as per the commencement checklist
Make welcome announcement to all new Eri Hosts once the transfer is confirmed.
Coordinate with staff area attendant to prepare the welcome basket for the new arrivals
Meet Team on arrival and do staff area orientation
Processing the PTF form for Fusion HR & Payroll with all the details.
Payroll
Handover monthly PTF forms for commencement, termination, change of status and holidays.
Process any unpaid leave.
Update the timesheet of HR and get all the signatures.
File all the department timesheets.
Administration
Maintain personnel files for all property grade Team
Maintain Team database (Accommodation) in Fusion
Track probation reviews from Fusion every month
Track performance reviews.
Coordinate with HRM about the passport and Visa Cards.
Assist HRM, L&D Manager and in all HR functions
Terminations
Calculate finals pays for property Eri Hosts
Arrange resignations accept letter together with clearance form, exit interview form and get approved by HRM
Ensure PTF forms are complete for terminations
Accommodation
Allocate rooms for new Team and book by HR system
Check rooms are clean for new arrivals
Follow up on Maintenance requests for rooms
Maintain key system for all Team rooms
Arrange room inspections every month as required
Advise HR Manager for any issues
Recognition
Send invitation for monthly award by 24th of month.
Have nominations out for voting by 5th of month
Complete letters, certificates, vouchers, money etc for winners and nominees
Organize reward event by 12th of month
Organize monthly birthday cards
Team Welfare
Organize monthly calendar of events for Eri Hosts. Liaise with one department per month for one social event each month.
Routinely check Team facilities, internet room, Team gym etc for any issues that arise with maintenance cleanliness
Order consumable items for staff area.
Arrange calendar for special Team events, and Public Holidays
Advise HRM of any issues
LEARNING & DEVELOPMENT
Daily Tasks:
Update Eri Story according to In-House Training Calendar and any changes.
Coordinating on in-house training with other departments.
Arrangement of classroom and stationaries
Preparing attendance sheets in a timely manner and with accuracy
Learning of the Day Posters (needs to be sent out 7am)
Assisting with any day-to-day activities and events as required.
Attending any in-house training courses as required for development.
Mini – Orientation (30 minutes) for every new hire during the onboarding process, with the guidance of L&D Manager. [an initiate to be implemented]
Weekly Tasks:
Updating the Training Matrix and ensuring all the Eri Hosts are on it. Any Eri Hosts who leave the resort is also removed from the Main Matrix and placed in “resigned” tab.
Ensuring proper stationery is available for training is required.
Monthly Tasks:
Coordinating collection of all the training records from each department. Email reminder to be sent out on or before 26th of each month. Give timely updates to L&D manager on progress.
Training summary sheets to be prepared for each month.
Assisting with monthly training report and assisting with the ops report
Looking after the coordination of intern’s meetings and monthly training sessions
Sharing the updated tracker to be shared with QA Team.
Corporate Initiatives
Assisting with Pulse Check newsletter and being proactively involved with gathering content together with the L&D Manager
Assist with any other tasks that the Group Director of Learning and Development needs assistance with.
